Document Portal Access After a Property is Closed

How do I keep my document portal open after a property is closed?

If you’d like to continue providing access to your document portal to select users after a property has closed, there are a couple of options available within your SharpLaunch dashboard.

Keeping the data room active

The data room is accessible for any property that is in Active or Draft mode. To keep the portal open but remove the property from public view, simply switch the property to Draft mode.

Note: Draft mode removes the property from your public listings but retains all internal functionality, including document access for approved users.

Restricting access to selected users

If you’d like to limit data room access to only a select group of users (e.g., final buyers or internal stakeholders), consider one of the following methods:

1. Manually remove leads from the property

  • Navigate to your Leads section for the property.

  • Remove users who no longer need access.

  • These users will lose access to the data room for this specific property, but will remain in the system if they are associated with other properties.

2. Use a private folder within the data room

  • Create a restricted folder inside the data room.

  • Grant folder access only to designated users (e.g., your buyers).

  • Move sensitive or relevant documents into this private folder to limit visibility.

This allows you to maintain an organized and secure portal while ensuring only authorized users can access post-close materials.
