Managing Lead Access to Private Folders

How Do I Manage Access to Private and Public Folders?

You can easily control who has access to specific folders within your Document Portal by managing folder visibility and permissions. Follow the steps below to update access settings for your property.

Steps to Manage Access

Navigate to the Property
Select the property for which you’d like to control folder access.

Open the Document Portal
From the left-hand menu, click on Document Portal to view all folders

Access Folder Settings
Click on the three dots (⋯) next to the folder you wish to manage. Click on “Permissions”

Toggle Public or Private Access
Use the Set this folder as Private toggle to set the folder’s visibility:

    • Public – accessible to anyone with access to your document portal

    • Private – restricted access that you control

Grant Access to Leads (Private Folders Only)

When a folder is set to Private, you can specify who can access it:

  • In the Leads section, grant access to specific leads.

In the Stages section, allow access for all leads within certain pipeline stages.

Save Changes
Once your access settings are configured, click Save Changes to apply your updates.

Additional Notes

  • You can modify folder access at any time.

  • Leads without access to a private folder will still see it in their Document Portal, and it is denoted by a lock icon. When they click on the folder, a disclaimer message appears, but they will not have access to the files until it is granted. When access is granted, they will receive an automatic email notification.

  • Make sure to review your access settings regularly to keep sensitive documents secure.
